A few changes have been made over the last week to the CA Pay Data Reporting features in your Datatech software. This article will briefly discuss the changes. Go to Tools > Check for Updates to download the latest version.

Fixed Errors

  • A SQL error on the Calendar Year Grower List has been fixed. This issue occurred when the multi-state payroll option was enabled. 
  • Multiple customers reported issues with Excel that we could not correct. A new option has been added to export to a CSV file format instead of Excel. The CSV file format does not rely on Excel so it will allow you to export your data if this issue arises. 
  • When generating snapshot data, employees without hours recorded (e.g. salaried employees) could generate an error “Number too large for field allocation” related to the calculation of the hourly pay rate. This has been fixed. In cases where the hourly pay rate is more than 9999.99, the program will now calculate zero for the hourly rate. 

Likewise, when editing the hours worked, the program could generate the same error. The program will now place a zero in the hourly rate in cases where the hourly rate calculation does not make sense. 

Program Changes

  • When compiling hours for the Labor Contractor Employee Report, the program compiled the total hours paid in a year. This was incorrect. The report should include the number of hours worked in the calendar year. The program now looks at the date worked on the line items to properly add the hours worked in the calendar year. It excludes hours worked in the prior year (that may be paid on the first check issued in the calendar year) and adds hours worked for the last pay period of the calendar year (which may be paid on a check in the following year). 
  • When generating the CA Payroll Employee Report file, the program did not include hours for sick pay, holiday pay, paid leave, or vacation pay. This has been corrected. 
  • The program exported CA Pay Data files to the same folder used for EEO reports. You can now select a different folder for the CA Pay Data files to be exported to.

Note: Because some of the changes affect the hourly rate and total hours worked, you may want to submit a corrected file if you have already submitted. 

If you have not reported yet, you may want to regenerate the snapshot data after updating.
