How-To Edit 1095-C Source Information

The previous post in this series dealt with performing a practice compile of 1095-C information in preparation for 2018 ACA Information Returns. Now we will discuss reviewing and editing 1095-C source information.

Following these instructions will help you to perform any necessary edits to the source information that will be compiled during January 2019. The four main information sources you will be editing are your Payroll Records, Category Settings, Medical Plan Settings, and Health Benefit Records.

As you review individual 1095-C transactions, you will have the option of either editing the transaction itself, or editing the source information. We strongly recommend that whenever you find incorrect transaction codes, first determine what source information is causing the error, and then edit that source information, not the transaction itself.

Any edits you perform now on these practice transactions will not be permanent. They will be deleted the next time you compile 1095-C information. However, any edits made to the source information will become permanent records.

Then, in early January, after you have finished processing the last of your 2018 payroll, you will compile your final 1095-C transactions. The edits you perform now to the source information will be used to code these final transactions correctly, so that far less time will be needed to review them.

Keep in mind that investing some time in an initial review and edit now will, by design, help you process your ACA Information Returns as efficiently as possible in January 2019.  Our next post in this series will cover the process of furnishing the printed 1095-C forms to employees.
