Back Up Your Datatech Software

Many customers use the Backup and Restore option in their Datatech software to create an accounting backup on USB or removable hard drive. However, this utility only creates a compressed file of the data folder of the currently selected company. Backups must be done individually for each company. For this reason, we recommend backing up the entire Datatech Accounting folder. 

Important for users on the SQL database platform: 

The Backup utility may not properly back up the SQL database (due to your SQL permissions). It should not be used for routine backups. Please see the recommendations in the following information.

Make sure you are backing up the following files:

Datatech Program Files:  You must back up everything in your main software folder, along with any sub-folders. This will normally be a folder named Datatech, but it may be different depending on when/how your installation was performed. It may be on the C: drive or another drive on your server. There should be a folder under the main shared folder, such as winfarm, winlco, windt, shipper, food, etc.  Some servers may have multiple folders that look like Datatech files, so it is important you locate the directory that is shared and contains the accounting files.

 

SQL Database:  If you are on the SQL database platform, you must have a backup of each database. There will be one database for each company you are operating in Datatech’s software.  

Check with your IT company to ensure they are performing a backup of ALL Datatech SQL databases in both a Local and Cloud backup. It may require special software to back up the SQL databases to a local tape or disk drive.

Other Considerations

The previous information is for Datatech software only. If you have other programs, word documents, spreadsheets, etc… you will need to make sure the relevant folders are being backed up.

If workstations contain important data, please evaluate the need for backing them up as well.

Local Backup

A local, or on-site backup, is performed with a backup device in your office. This could be a network attached storage device (NAS), or a tape/removable disk drive.

Common problems with local backup

  • Disks are not rotated and ransomware corrupts the only backup media rendering it useless
  • No one is monitoring the backup to ensure it is working properly
  • Only partial backups are made
  • What is being backed up is wrong or incomplete

Cloud Backup

A cloud backup is a backup of your data to storage on the Internet. Cloud backups are normally subscriptions that run automatically at set times.
