If you are tired of searching through filing cabinets to dig out an original document just to make a copy or scan and put it back, then our Document Management Software is the solution for you! You can now scan and attach all manner of confidential employee documents to make them instantly accessible right on your screen! No storage limits means you can scan as many documents as the storage available on your network allows.
After your purchase is confirmed, specific permissions are established for each user, allowing you to customize which document types in the various segments of the HRM Software are visible (or invisible) to each employee.
After installation of the Document Management Software, an additional “Employee Documents” tab will become available on the Employee Entry screen (shown above.) This tab contains a DROP ZONE in which to drop your scanned documents and the Document Grid shows all of the documents that have been attached to that specific employee file.
In addition, more specific DROP ZONES and specific document types are visible in several other tabs of the employee file, as well as in the Training areas of the software. This allows you to attach, for example, a document that was used during a training or tail-gate meeting, such as a sign-off sheet. When scanned, that document can be dragged and dropped into the DROP ZONE located in the Safety Meeting record window, which will automatically attach a copy of the document to the file of each employee shown on the attending grid for that meeting.
Concerned about the security of the personal information on the documents you Drop into the employee file?
Not to worry! As each document is dragged into a DROP ZONE, the software instantly deletes the scanned document from the folder it came from, and simultaneously encrypts the document (using AES-256) as it saves it to your employee file. This ensures that no one can search for and locate a scanned document on your network and simply open or view its contents without being properly logged into the HRM Software and the associated permissions being verified.
For security purists interested in keeping all sensitive information inaccessible to the unscrupulous, an additional Scanner Option is available. This option requires the purchase of a specific Epson Scanner, available directly from Datatech. Once installed you may, with the touch of one button, scan and attach your sensitive documents directly to the employee’s file without having to drag and drop a scanned document. Additionally, once you have completed the document scan, all non-encrypted copies of scanned material anywhere on your network or stored in memory are erased, even from your Recycle Bin!
Licensing for this new Software is different from what you have come to expect with other Datatech Software products. Rather than being based on the number of users, Document Management Software licensing is based on the number of Computers on which the software is installed. The $1,995.00 base price for the software includes a license for one PC, and each additional PC requires its own license and associated cost.
